Procurement · Hardware + licensing + lifecycle

IT procurement, without the mystery margin.

Laptops, desktops, monitors, accessories, licensing — sourced from authorised distributors at distributor pricing plus a fixed configuration fee. We don't play margin games. The saving on one hardware refresh usually covers a year of managed service.

What's included

The pieces that make up IT Procurement.

Hardware sourcing

Lenovo, Dell, HP, Apple, Microsoft Surface — sourced from UK authorised distributors. We quote you the distributor cost and our configuration fee separately. No mystery margin.

Pre-configuration

Devices arrive at our office, get imaged, joined to your tenant via Autopilot, encrypted, asset-tagged. Then shipped direct to the user — usually next-business-day.

Software licensing

Microsoft 365, Adobe, Sage, AutoCAD, sector-specific apps — sourced via NCE or distributor. Pass-through pricing. We manage the renewal calendar so you don't auto-renew at retail.

Asset register

One source of truth: device, serial, user, location, warranty end, refresh due. Updated automatically from Intune. PDF or live link, your choice.

Lifecycle planning

Standard 4-year refresh cycle, smoothed across the year so you're not buying 30 laptops in one quarter. We forecast 12 months out, so the budget is predictable.

Secure disposal & trade-in

Drives wiped to NIST standard, certificates issued, devices either returned to you or trade-credited. WEEE-compliant disposal for genuinely end-of-life kit.

How it works

A predictable shape, every time.

  1. 01

    Standard models

We agree a 'standard build' — typically two laptop tiers and a desktop. New starters get the standard, no design-by-committee per device.

  2. 02

    Forecast

Quarterly refresh forecast based on your asset register. Shows what's coming due and what the spend looks like 12 months out.

  3. 03

    Order & deploy

Orders raised against the forecast or one-off as needed. Devices imaged at our office, shipped direct to user. Setup in 15 minutes.

  4. 04

    Track & retire

Asset register stays current. End-of-life kit collected, wiped, traded or recycled. Certificate of destruction issued.

Sits inside our managed service

IT Procurement is part of how we run IT — not a stand-alone product.

Hardware billed at distributor cost plus a fixed £25 per-device configuration fee. Licensing at NCE list, no mark-up. Asset management is part of managed service.

Common questions

IT Procurement — frequently asked.

What does 'distributor cost plus configuration fee' actually mean?

When you order a Lenovo ThinkPad through us, we order it from Westcoast or Exertis (UK distributors) at our trade price, and pass that cost to you on the invoice. Our margin is a fixed £25 configuration fee per device, listed separately. You'll see both numbers — the kit price and our fee. Most MSPs blend them and add 8–18% margin invisibly. We don't.

Can we get the same prices direct from Lenovo or Dell?

Sometimes — especially on big orders. If you can, do. We'll happily quote against your own portal pricing to show you the difference. More often, distributor trade pricing on volumes of 10–50 devices works out similar or better, especially after factoring in the configuration time we save you.

How long does delivery take?

Standard models typically next-business-day from us, plus 1 day for imaging if you want it Autopilot-deployed and joined to your tenant. Custom configurations or Apple kit can take 5–10 days. We hold a small buffer of standard models for emergencies.

Do you handle leasing and finance options?

Yes. Operating lease, finance lease, or device-as-a-service via Lenovo or HP. Useful when cashflow matters more than total cost. We model the difference vs outright purchase so you can see the trade-off.

What about Macs?

We support Mac in mixed environments — typically 10–30% of users in marketing, design, and creative roles. Sourced via Apple Authorised Reseller or direct via Apple Business. Managed via Intune (yes, it works) or Jamf Now for larger fleets.

What happens to old devices?

Three options. Trade-in via our distributor for credit against new kit (typical for laptops 2–4 years old in good condition). Secure disposal — drives wiped to NIST 800-88, devices recycled WEEE-compliant, certificate issued. Or returned to you if you want them as spares or to donate.

Do you keep stock on our behalf?

Not normally — distributors hold stock far better than we can. For clients with high turnover or genuinely critical spares (manufacturing terminal, legal partner laptop), we'll hold 1–2 imaged devices on a small monthly fee.

Can you procure non-IT items — desks, chairs, monitors?

Monitors, docking stations, headsets, webcams — yes, those are part of standard procurement. Desks and chairs no — there are specialist suppliers who do that better than we ever would.
